Voting Procedures and Tips

Club Voting Rights
Every club in good standing is entitled to send one delegate to vote at Quota's convention, now held biennially. Clubs are considered in good standing (and thereby eligible to vote) if international dues, the advance convention fee, and the club voting delegate's convention registration fee are all paid in full. Following are the different ways in which members and voting delegates participate in the governance of Quota International.

  • International Board Member Elections
    All clubs in good standing can vote in elections for board members. Area director elections are held via mail ballot in both convention and non-convention years. Mail ballots are mailed by March 15, and voted ballots must be received at the QI Office by May 15.

    Elections for international officers, including the president-elect and treasurer, are held via mail ballot in non-convention years, and they are held at convention during years when a convention is held. Clubs that send voting delegates to convention vote in on-site international officer elections; those clubs that do not are entitled to vote via absentee ballot. All absentee ballots must be received at the QI Office on or before June 15.

    A governance mailing is sent to all voting delegates in March. This mailing includes specific voting procedures and guidelines, an absentee ballot (in convention years only), and a mail ballot to those areas electing area directors. (Canada, South, and West Area members elect area directors in even years; Central, East, and South Pacific Area members elect area directors in odd years.)

  • Bylaws
    Quota International Bylaws can be added, removed, or modified by two-thirds of the voting delegates who attend convention and participate in bylaws sessions. Voting delegates include club representatives, district governors or representatives, past international presidents, and board members. Those clubs that do not send voting delegates to convention do not participate in bylaw discussions or decisions. Bylaws presented at convention are suggested by individual clubs, districts, international committees, and the board of directors. The deadline for submitting proposed bylaws is December 1 (prior to a convention year only).   • Leaders as Listeners Strategic Discussions
    All members who attend convention are invited to participate in annual convention town meeting strategic discussions. Convention participants help leaders identify issues that may require further discussion by leaders, or they provide input and suggestions on improving programs, services, and operations.

Club Voting Procedures
Every club in good standing is entitled to be represented at convention by one voting delegate. Traditionally, the club president attends convention as the club's voting delegate; however, each club may appoint up to two alternates to attend and vote, if necessary. The club delegate registration and credentials form is sent to all members in the Quotarian magazine. You will find it located at the bottom of the Quota International Convention Registration Form.
